The short version
- We collect what it takes to run your trips: your account, the places and bookings you add, and the confirmation emails you choose to import.
- We don't sell your personal information, we don't show ads, and we don't use advertising or analytics trackers.
- Ask Unplanned and booking imports send the relevant trip details to Anthropic, our AI provider, to produce an answer. Anthropic does not use that data to train its models.
- A trip is visible only to you and the people you share it with. Your Ask conversations stay private even on a shared trip.
- You can delete your account from Settings at any time, and it takes your trips with it.
This summary is for convenience. The full policy below is what applies.
Who we are
Unplanned is a trip planner available at travelunplanned.com. It is operated by Thecreativecoefficient ("Unplanned", "we", "us"). We are responsible for the personal information described in this policy.
This policy covers the website, the planner at travelunplanned.com/plan, the early-access waitlist, and the email addresses you use to forward bookings to a trip.
What we collect
Information you give us
- Account details. Your name, email address and password. We store your password only as a salted hash; we never see or keep the password itself.
- Profile and preferences. An optional profile photo, your home currency, units, time format and timezone.
- Travel Style. Your answers to the Travel Style questions and the plain-language summary made from them, which you can edit.
- Trip content. Trip names, dates, places, coordinates, flights, stays, car hire, rail and ferry details, restaurants, events, notes, costs and currencies, and any standing notes you give Ask Unplanned for a trip.
- Imported bookings. Confirmation emails you paste, upload or forward to a trip's address, including the sender, subject, message body and the text of attached PDFs. These often contain booking references, names of other travellers, and similar details.
- Ask Unplanned conversations. The questions you ask and the answers you receive.
- Sharing. The email address of anyone you add to a trip, and the role you give them.
- Waitlist. If you request early access, your email address and anything you choose to tell us about your trip.
- Messages to us. Anything you send when you contact us.
Information collected automatically
- Sign-in sessions. When you sign in we record the time and your browser's user-agent string, so you can see and sign out of your devices under Settings.
- Server logs. Our servers and hosting providers record standard request data, including IP address, time, the page or endpoint requested, and browser type. We use this to keep the service running, to limit abuse, and to investigate problems.
- Usage counts. We count booking imports and Ask Unplanned answers per account, with the AI model used and its token counts, to enforce plan allowances and understand what the service costs to run.
We do not collect your precise location from your device. Locations in Unplanned are the ones you search for, click on the map, or import.
How we use it
- To provide Unplanned: storing and showing your trips, drawing maps and routes, converting costs into your home currency, and syncing between your devices.
- To run the features you use, including Ask Unplanned, booking imports and first-trip setup (see section 4).
- To send you service email: address confirmation, password resets, security notices, and messages about your account or these policies.
- To send your invite and launch news if you joined the waitlist. You can ask us to remove you at any time.
- To keep the service secure: rate limiting, preventing fraud and abuse, and enforcing our Terms.
- To understand costs and improve the product, using aggregate usage counts.
- To meet legal obligations.
Where the law requires a legal basis for processing, as in the EU and UK, we rely on: contract for providing the service you signed up for; legitimate interests for security, abuse prevention, waitlist email and product improvement, balanced against your rights; legal obligation where the law requires us to keep or disclose information; and consent where we ask for it, which you can withdraw at any time.
We do not make decisions about you that have legal or similarly significant effects based solely on automated processing.
Ask Unplanned and imports
Some features use large language models provided by Anthropic, PBC. Information is sent to Anthropic only when you use one of these features:
- Ask Unplanned. Your question, recent messages in that conversation, your Travel Style summary, the trip's standing notes, and the trip details needed to answer. Ask can only read the trip you asked from. When a question needs current information, Ask may run a web search through Anthropic; the search terms are generated from your question.
- Booking imports. The content of the email or PDF you submitted, so the booking details can be read out of it. Nothing is added to your trip until you review it and accept it.
- First-trip setup. Your Travel Style answers and the trip you describe, so a starting trip can be drafted for you.
Under Anthropic's commercial terms, data sent through its API is not used to train its models. Anthropic may keep inputs and outputs for a limited period for safety and abuse monitoring.
AI output can be wrong. Always check important details, such as times, dates, entry requirements and booking references, against the original booking or an official source.
Where your data is stored
Our providers operate in several countries, including Canada and the United States. Your information may therefore be stored and processed outside the country where you live, where data protection laws may differ from yours.
Where the law requires it, we rely on appropriate safeguards for these transfers, such as the standard contractual clauses in our providers' data processing terms.
How long we keep it
- Account and trip data, including imported emails and Ask conversations, is kept while your account is open. You can delete an individual Ask conversation at any time.
- When you delete your account, we delete your profile, the trips you own, your imports, Ask conversations and Travel Style from our live database immediately. Trips other people own and shared with you are not affected. Deleting an account removes the trips it owns for everyone they were shared with.
- Backups are overwritten on a rolling basis and kept for up to 30 days, after which deleted data is gone from them too.
- Server logs are kept for a short period, normally a few weeks, unless needed to investigate a security problem.
- Waitlist entries are kept until you ask us to remove you, or until we no longer need them after launch.
- We may keep limited information for longer where the law requires it, for example payment records once paid plans exist.
Security
All connections to Unplanned are encrypted. Passwords are hashed, session tokens are stored only as hashes, email links are signed and expire, and each trip can be read only by its members. Forwarded emails are accepted only after verifying they came from our email provider.
No service can promise perfect security. If a breach affects your personal information, we will notify you and the relevant authorities as the law requires.
Your choices and rights
You can do most of this yourself in the planner under Settings:
- Update your name, email, photo and preferences.
- Edit or reset your Travel Style.
- See your signed-in devices and sign them out.
- Delete your account.
Depending on where you live, you may also have the right to access a copy of your personal information, correct it, delete it, receive it in a portable format, restrict or object to how we use it, and withdraw consent. To make a request, email us at the address below. We will respond within the time the law allows, usually 30 days, and may need to confirm your identity first.
If you are unhappy with how we handle your information, please contact us first. You also have the right to complain to your local data protection authority, such as the Office of the Privacy Commissioner of Canada, the Office of the Australian Information Commissioner, or the supervisory authority in your EU country or the UK.
Children
Unplanned is not for children. You must be at least 16 to create an account. We do not knowingly collect personal information from anyone under 16; if we learn that we have, we will delete it.
Changes to this policy
We will update this policy when the service or the law changes, and change the effective date above. If a change materially affects how we use your information, we will tell you by email or in the planner before it takes effect.
